Terms & Conditions - Programmes

*Hiring our venue? Please visit our Venue Hire terms and conditions for booking agreements.

To make a booking

To book a course, you can book online, call 01453 759034, or email info@hawkwoodcollege.co.uk. To secure your place on the course and accommodation, early booking is recommended. Please note that your booking cannot be confirmed without a deposit or fee payment. Whatever your method of booking, you will be sent a written confirmation, further details about Hawkwood, what you should bring, and a map with instructions on how to find us.

Fee payment

We accept all major credit cards, as well as bank transfers and PayPal. Additionally, guests now have the option to spread course over 4 interest-free payments via Clearpay. All payment options are available online through our secure and user-friendly checkout system.

For those who prefer, we still offer the option to pay a non-refundable deposit. As the deposit amount varies depending on the course, please contact us directly for details.

Once the deposit is paid, the remaining balance will be due four to eight weeks prior to the start of the course, depending upon the course being booked.

Cancellation policy

We strongly recommend that you take out holiday insurance to cover any cancellations due to illness or unforeseen circumstances.

If you need to cancel

Refunds are only available for cancellations made no less than four weeks prior to the course start date. For certain courses that require cancellations no less than eight weeks before the start date, these terms will be clearly specified on the individual course page. In all cases, a 20% administration fee will be deducted from your payment upon cancellation.

Cancellations made within the four-week (or eight-week) period before the course begins are non-refundable.

An exception to the four-week policy applies to the Gong Master Training, where the balance is due eight weeks before the course begins. For this course, cancellations must be made eight weeks prior to the start date (subject to a 20% administration fee).

Full course fees

If you’ve paid a deposit for a course, the remaining balance must be paid no less than four weeks (or eight weeks, depending on the course) before the course start date.

If you have settled your outstanding balance

Full course fees are non-refundable if cancellations are made within the four-week (or eight-week, depending on the course) period before the course start date.

If we have to cancel

Hawkwood reserves the right to cancel a booking, but if this happens we will give you as much notice as possible. In the event of a cancelled course, the full amount paid will be refunded. Hawkwood can accept no further liability for course cancellations beyond this refund.

Arrival and departure times

Please refer to the information on the booking page for each course.

Meals and dietary requirements

Hawkwood has a reputation for delicious meals; organically grown vegetables and local meats are used where possible, and all food served is GMO-free.

We will do our best to cater for special dietary requirements but these, along with any food allergies, must be noted at the time of booking.  We will be unable to accommodate changes to diet when you arrive as our meals are planned with great care in advance.

Please remember the meal option you have booked (meat, vegetarian, vegan) and do not ask to change during the weekend as the meals are planned and cooked with your requirements in mind.

If you wish to change your meal option for courses you have already booked, please contact us at least one week in advance via info@hawkwoodcollege.co.uk

Our Regulations

  • No smoking is allowed within the buildings
  • Hawkwood does not assume responsibility for guests’ property, including personal belongings and vehicles.
  • On the day of departure, we ask that resident course members vacate their rooms by 9.30 am to allow room preparation for the following courses
  • Pets cannot be accommodated at Hawkwood (assistance dogs only by prior arrangement)

Bursaries and concessions

We may be able to offer concession rates and bursaries to those who wish to take part in Hawkwood courses but find it difficult to do so without some financial assistance. Funds are limited. Please head to our Bursaries page for more information here.
